Administrative and Project Assistant

BCI Management, LLC (BCIM) is seeking an Administrative and Project Assistant to join our team in Salem, Oregon. BCIM provides association management services to agricultural commissions, trade associations, and related industry groups. This is a full-time, office-based position that will report to the Director of Association Management.
Position Overview
The Administrative Assistant will serve as the first point of contact for visitors and callers, while also supporting the office with a variety of organizational and clerical tasks. This is an ideal role for someone who is highly organized, personable, and enjoys keeping a professional office running smoothly.
Key Responsibilities Include:
Office Reception & Communication
- Greet guests and clients in a professional and courteous manner
- Answer and route incoming calls and emails
- Manage the front desk and maintain a welcoming office environment
Administrative Support
Handle incoming and outgoing mail and courier shipments
Monitor and order office supplies
Assist with scheduling, filing, copying, and document preparation
Support internal staff with general administrative tasks as needed
Process and compile quarterly customer reports
Meeting and Event Coordination
Assist with meeting logistics, including notices and materials preparation
Coordinate catering and hospitality needs for in-office meetings and events
Project Management
Assist with coordinating client participation in trade shows
Provide administrative support for client projects, including conventions and special events
Qualifications
Positive outlook and professional presence, comfortable serving as the first point of contact for visitors and callers
Strong organizational skills and attention to detail
Ability to manage multiple priorities in a fast-paced office environment
Proficiency with MS Office applications and general PC operations
Familiarity with database or CRM systems a plus
Prior experience with meeting or event coordination beneficial
Ability to work independently and collaboratively as part of a small office team

Compensation
The salary range for this position is $50,000 – $60,000 annually, depending on experience and qualifications.
